Managing the waitlist
When a ticket type sells out, visitors can join a waitlist instead of leaving empty-handed — Waitlists for sold-out events covers what that looks like on their side. This guide covers your side: watching and managing the queue from the dashboard.
Where to find it
Open your event and look at the Setup panel. The Waitlist row shows how many people are signed up; open it to see the full list.
What the list shows
Each entry shows the person's name, email, the ticket type they're waiting for — or All tickets if they didn't sign up for a specific type — their status and the signup date. The list is sorted oldest first, so the order on screen is the queue order.
An entry moves through three statuses:
- Waiting — in the queue; nothing has freed up for them yet.
- Notified — a place opened up and they've been emailed a purchase link.
- Purchased — they completed their purchase.
Notifications are automatic
There's nothing for you to trigger. Whenever capacity frees up — for example after a refund or cancellation — Cleartix automatically emails the next person in line a link to complete their purchase.
The Waitlist Notification email is a system template like any other: change its wording under Emails — see Customising emails.
Removing someone
To take someone off the list — because they asked you to, or an entry is clearly spam — click Remove on their row, then click again when the button asks Confirm?. Removal is permanent: the entry is deleted and that person won't be notified when a place frees up.
Tip: The entry count next to Waitlist in the Setup panel doubles as a demand meter — a long list is a strong signal to add capacity or plan a second date.
