Capacity pools: share one stock across ticket types

Every ticket type has its own capacity, and the whole event can have a total. Sometimes the real limit sits in between:

• 400 portions of steak, sold as Adult steak and Child steak
• 80 places in the VIP zone, spread over three VIP ticket types
• 50 bus seats for Member with bus and Guest with bus
• 20 participants per workshop slot, for Member and Non-member together

A capacity pool is that shared stock. Every ticket takes one unit from each pool its ticket type belongs to, on top of the ticket type's own capacity and the event's. When the pool runs out, no member ticket type can be sold any more, at the point of sale either.

Creating a pool

1. Open your event and go to Capacity (under Setup). At the top you see every layer that limits your sales: the whole event, the timeslots and the ticket types, with what is left.
2. Click Add pool, give it a name and a capacity, and tick the ticket types that draw from it.
3. If you sell with timeslots, choose whether the pool applies to all timeslots or to one ("Sitting 17:00": 250 seats across all menus).

Create a pool after sales have started and what is already sold is deducted straight away. Lower the capacity below the sold count later and sales of the member types stop until something frees up.

What buyers see

In the checkout ClearTix limits how many a buyer can pick to what is still free in the pool. When a pool that applies to all timeslots is empty, the member types show as sold out immediately. If the reservation still fails because someone was just ahead, the buyer is told there are not enough places left for that combination.

Refunds, expiry and moving bookings

An expired or refunded ticket gives its unit back to the pool. Move a booking to another timeslot and the units move to that slot's pools. Pools do not take part in the waitlist: a freed pool unit goes straight back on sale.

Templates

Pools belong to a template and are copied to every event you create from it; save an event as a template and the pools come along (except pools tied to one timeslot, since a template has no timeslots). Create an event from the form with a template and the pools are matched by ticket type name: rename a type before saving and it drops out of the pool.
