Products: physical and digital
Products live at organisation level under Shop → Products. Unlike an event add-on, a product exists once, keeps one stock across every event that offers it, and can be a physical item (a t-shirt, a book) or a digital file (an e-book, a recording) that the buyer downloads after paying.
1. Create a product
Go to Shop → Products → New product and pick the type first: physical or digital. The type cannot be changed afterwards.
Every product has:
- Name and description in each language you sell in.
- Price — always VAT-inclusive.
- VAT rate — by default your organisation's rate. Pick another rate when the product is taxed differently from your tickets (a 21% t-shirt next to 6% tickets, a 6% e-book). Orders, confirmations and invoices then show each rate separately.
- Max per order (optional).
- Active — switch it off to hide the product everywhere without losing its history.
A physical product also has:
- Stock (optional) — leave empty for unlimited. Stock is shared: a t-shirt sold on event A is gone for event B too. Units of orders that expire unpaid, are cancelled or fully refunded come back automatically.
- Weight (optional) and Needs shipping — switch shipping off for items that are only collected.
A digital product has a file (PDF, EPUB, MP3, MP4 or ZIP, max 200 MB) instead of stock. Upload it after saving the product; it counts against your plan's storage limit. The product cannot be sold until it has a file. See Digital products.
While you type the price, a live VAT preview shows the net amount and the VAT at the chosen rate.
1b. The product list
Shop → Products opens with three stat cards — Active products, Sold out (with the number of products low on stock) and Units sold across every channel — and the list below shows each product with a colour-coded stock column (unlimited, in stock, Low stock under five units, Sold out), the units sold, the events it is offered on, and a Needs shipping or Collect only marker for physical products. Drag the handle (or use the arrow keys) to reorder; the order is the one buyers see. The sidebar shows the number of sold-out products as a badge on Products.
2. Image
After saving, add one image (square works best, JPG, PNG or WebP, max 5 MB). It appears on your events' extras step and in the shop.
3. Sell it on an event
On any event go to Extras → Add product, pick the product and, for a physical product, how it reaches the buyer: collected at the event (it appears on the extras voucher), shipped, or the buyer chooses. Name, price, VAT and stock come from the product and update everywhere when you change the product. The reverse works too: an add-on that only exists on one event can be turned into a product with Make it a product — see Add-ons and extras.
3b. Sell it in your shop
Once your shop page is open, every active product is for sale there too — physical products with a delivery choice, digital products as a download right after payment. Every product gets its own product page in the shop, and the same stock and the same price apply on both channels.
Via the API
GET /api/v1/products lists the catalogue (?kind=physical|digital, ?active=true|false), POST/PATCH create and edit products, and a digital file is uploaded with POST /api/v1/products/{id}/file/presign followed by PUT /api/v1/products/{id}/file. Sales per product are in GET /api/v1/stats/products; see API & webhooks.
4. Editing and deleting
Changing a product's name, description, price or VAT updates every event that offers it. Lowering the stock never resurrects sold units. A product that was never sold can be deleted; one with sales is archived instead so order history stays intact. Remove it from events first.
Examples
- A festival t-shirt at 21% VAT with 200 in stock, sold on three events with pickup at the merch stand.
- A recording of a masterclass as an MP4 at 21% VAT, downloadable right after payment.
