Shipping and handing over orders

Every paid order with a delivery method — a shop order or an event order whose extras the buyer had shipped — lands on the Shipments worklist under Shop → Shipments (also linked from Orders as X to ship). It stays there until you mark it shipped or collected; the sidebar shows the number of open shipments as a badge on Shipments. (The old Orders → Shipments address redirects here.)

1. The worklist

The list shows the oldest paid order first with the buyer, the destination, the shipping method, the number of units and how many days the order has been waiting. Filter on To do / Shipped / All, on a shipping method or a destination country, and search on order number, name or e-mail. Pickup-point orders sit in the same list with a Pickup badge.

2. Packing slips and carrier export

  • Packing slips (PDF) prints one A4 page per order: your ship-from address, the delivery address, the order number and the lines in the parcel. Select orders first to print only those; without a selection every open order is printed. The order page has the same button for a single order.
  • Export CSV gives the selected (or all shown) orders with the address columns most carrier portals import.

3. Mark as shipped

Click Shipped on a row, pick the carrier (bpost, PostNL, DHL, DPD, GLS, UPS or other) and paste the tracking code if you have one. The buyer immediately receives an e-mail that the parcel is on its way, with a tracking link for carriers that have a public tracking page. Untick E-mail the buyer when you prefer not to send it; E-mail preview in the dialog shows the exact message before you confirm. After marking, a toast Marked as shipped offers Undo for 8 seconds, which reverts the order without sending anything.

Select several rows and use Mark # shipped to ship them in one go with the same carrier and no tracking code; every buyer still gets the e-mail.

Marking an order shipped delivers its shipped lines (they count as handed out), records the date and who shipped it, and sends the order.shipped webhook.

4. Pickup orders

For a pickup point, click Collected when the buyer has picked the order up. The physical lines are marked delivered and the order leaves the worklist. The buyer already received the pickup instructions in the confirmation e-mail.

5. Undo and address corrections

Both Shipped and Collected can be undone within 24 hours from the order page — no e-mail is sent, the lines go back to pending, and the audit log keeps the change. Before an order is shipped you can edit the shipping address on the order page (a typo, a moved buyer); you confirm the change, the buyer is not notified automatically, and the shipping cost is never recalculated. The audit log records who shipped what and whether a tracking code was entered — never the tracking code itself.

6. Refunding shipped products

Open the order and click Refund products: choose the units per line (2 of 3 t-shirts), lower the amount if you want, tick Back in stock for items you got back, and tick Shipping to refund the shipping line. See Refunds and cancellations.

Via the API

GET /api/v1/shipments returns the worklist, POST /api/v1/orders/{id}/ship marks an order shipped, POST /api/v1/orders/{id}/lines/{lineId}/fulfil hands over a collected line, and GET /api/v1/orders/{id} returns the lines (fulfilment, download count, refunded units) and the shipping block; AI assistants have the matching list_shipments and mark_order_shipped tools.
