When the buyer is a company, not a person

Consumer ticketing assumes one person buys one ticket for themselves. Business is different. A company sends five people to your training course, pays once for the lot, and then asks for a proper invoice with their VAT number on it so finance can process it. If your ticketing tool cannot produce that, you end up chasing payments by email and writing invoices by hand.

In a group booking, one company books several attendees in a single order. Rather than each person checking out separately, the organisation buys the whole block at once and makes a single payment for the group. That keeps the buyer's side simple — one transaction, one receipt to reconcile — and keeps your side simple too, because it is one order rather than five loose ones to match up later.

Collecting the billing details

At checkout, the order collects the information finance departments actually need:

  • company name;
  • VAT number;
  • billing address;
  • and the invoice details for the order.

Because this is gathered during the booking, you are not going back and forth afterwards asking "what's your VAT number?" or "where should the invoice go?". It is captured up front, with the order.

A real invoice, ready for finance

Once the booking is placed, ClearTix produces an invoice for the order. It is built from the billing details the company entered, so it is ready to be handed to their finance team without you having to draft anything in a separate accounting tool. Just because the company paid as one does not mean everyone shares a single ticket. Each attendee still receives their own individual ticket, which scans at the door like any other. So the buyer gets the clean B2B experience — one payment, one invoice — while each person who actually turns up has a valid ticket of their own.
