Scanning festival tickets across multiple gates without chaos

Multiple entrances, thousands of tickets, no time for mistakes. Here's how multi-device scanning, double-scan prevention and live capacity keep a festival entrance moving.

The festival entrance problem

A festival is not a single door. It is several gates, sometimes spread across a site, each with its own queue and its own crew. People arrive in waves, often all at once when a headliner is about to start, and every gate needs to scan the same pool of tickets without letting anyone through twice.

That only works if every scanner is talking to the same live data. If gate A does not know what gate B has already scanned, you get duplicate entries, arguments, and a security headache. The whole point of digital tickets is to make that impossible.

Multi-device scanning, one shared list

With ClearTix you can run as many scanners as you need at the same time, all reading from the same event. There is no master device and no syncing ritual — every phone or tablet is checking the same shared list of tickets as it scans.

Because the scanner runs in the browser, you do not install an app or hand out special hardware. Each crew member opens the ClearTix Scanner in their phone's browser, logs in, and starts scanning. Need a tenth scanner because a queue is building? Open it on another phone and you are live in seconds.

We go deeper into the festival workflow on the festival ticketing page.

Preventing double scans

The risk every organiser worries about is the same QR code being used twice — a screenshot passed to a friend, or someone trying their luck at a second gate.

When a ticket is scanned, it is marked as used straight away. If that same code shows up again — at the same gate or a different one — the scanner flags it as already checked in and tells the crew member who scanned it first and when. The decision is then human: maybe it is an honest re-scan, maybe it is not. But the system never silently lets a duplicate through.

Live capacity you can actually act on

Festivals usually have a hard capacity number, set by the venue or the licence. You need to know how close you are to it in real time, not after the fact.

Because every scan updates the same shared count, you always have a live figure for how many people are inside. When you near capacity you can hold a gate, open an overflow area, or pace entry — decisions you can only make if the number in front of you is current. With paper lists across multiple gates, nobody has that number until it is too late.

Practical tips for a smooth gate

A few things that make the difference on the day:

  • Brief the crew on the already-scanned message. Everyone should know what to do when a ticket flags as used, so the queue does not stall on a judgement call.
  • Charge phones and bring power banks. Scanning all night drains batteries; a dead scanner is a closed gate.
  • Have a couple of spare scanners ready. Opening another in the browser takes seconds, so keep a phone or two in reserve for the rush.
  • Check signal at each gate beforehand. Scanning is fastest with a connection; test the spot where the crew will actually stand.

Built for the busy moments

The hard part of a festival entrance is not the quiet first hour. It is the surge when everyone arrives at once. Multi-device scanning from a shared list, automatic double-scan flagging, and a live capacity count are exactly what keep that surge moving instead of grinding to a halt — and none of it needs special kit beyond the phones your crew already carry. Giving several crew members their own scanning access is a Studio and Pro feature; see the pricing page for what each plan includes.
